Q:  I can't log in, what should I do?

A:  Make sure you have read the training materials very carefully which provide you with exact instructions on how to determine your log in.  If you are still having trouble logging in, contact the appropriate person designated below. She has access to your log-in information and can determine if the information in E-Track is incorrect, if so she can submit that change and you should be able to log in with no problems.

Q:  What about supervisory approval?

A:   The way E-Track is set up, a learner is to obtain supervisory approval PRIOR to enrolling in any session.  This can be done via an e-mail or whatever way your agency has this process established.  Your supervisor (as well as agency alternate contact person) will receive an e-mail notification of your enrollment and both have the ability to withdraw you from the training if it was not pre-approved. 

 

Q:  As it turns out, I can't attend the training I am enrolled in, what should I do?

A:   SWORTC is in the process of setting the Registration Windows (the time frame in which someone can enroll or withdraw from a training) for each session to be no earlier than 6 months prior to a training and up to a day prior to the training.  This means you have the ability to withdraw yourself up until a day before the training.  If you are unable to attend a session for which you are registered, please utilize the withdrawal function in E-Track or contact the following:

Q:  I have a last minute request for a training, what should I do?

A:  As mentioned above, you have until the day before a workshops to register through E-Track.  If you have an urgent need for a training that has a closed registration window...

Q:  The training I want to take is full and I am on a waitlist, what happens next?

A:  Each session has a maximum number of participants and once the maximum number is reached those who try to enroll will be placed on a waitlist.  SWORTC monitors this wait list and if someone withdraws from that training, you may be selected which means you will receive an enrollment notification e-mail from E-Track. 

 

Q:  I want to attend this training but I did not enroll through E-Track, can I still attend?

A:  SWORTC expects those who have E-Track log-in privileges to be capable of enrolling and withdrawing from training themselves.  With that being said, we know that the next month or so we will still be transitioning so we may not know ahead of time who has previously enrolled and who has not.  If you are within the registration window, please utilize E-Track to go ahead and register.  If you need to talk with someone about your registration please contact the following:

Q:  What happens after I attend the training?

A:  If your training is held at the SWORTC in Loveland, you can utilize the computers in the hallway to complete your survey through E-Track right then and there.  Otherwise, when you return to your agency  or your home you will have an e-mail from E-Track linking you to the Survey on your To Do List.  You have 7 calendar days to complete the survey.  Once the session is closed after the 7th calendar day, you will receive an e-mail linking you to your certificate.  We do have the ability to track those individuals who habitually do not complete surveys and SWORTC can bring this to a supervisor's attention.  Even though we are moving to this Internet based system, your feedback on evaluations is just as critical as before and we ask for your cooperation in completing survey evaluations. 

 

Q:  Why does my training transcript only go back to October of 2009?

A:  The OCWTP made a decision early on to only include training records from October 2009 and forward.  This was when our old data system was no longer functional.  If you need a record earlier than 10/2009, you can contact the SWORTC and we will provide you with that record.
